Receive an email every time a user submits their answers

The Email Response Handler is a powerful and easy-to-use tool to automatically send emails to you and your colleagues after a response has been submitted via your heyflow.

These notification emails are a great way to have a quick overview on all the leads' information sent.

πŸ’‘ This is added automatically to all your heyflows. Also, the account email address is automatically added as recipient.


Setup

In order to set up your Email notification in your flow, follow the following steps:

  1. Go to the Integrate tab and navigate to Response Handler and click on Email.
    ​

  2. In the General section, you can adjust the following:

    1. The recipient's email ("To" field): As account owner, your email address is automatically added here. You can still add more recipients.

    2. Alternatively, you can also CC or BCC someone.

    3. Important: You can insert up to 5 email addresses for each of the inputs.
      ​

  3. Activate the feature "Send empty notification without response data" if you simply want to get notified about a new lead coming in.


Content Settings

Under content, you can set the language of the email and choose between English & German.

Within our Agency & Business plan, you can also edit the content of the email very detailed and customize it to your needs. In order to adjust the content of your Response Handler Email in your flow, follow the following steps:

  1. Switch to the Content tab in the Email integration
    ​

  2. Here you can adjust:

    1. The language

    2. The logo

    3. The sender name

    4. The subject line, preheader and headline

    5. To adjust the text of your message with HTML support, you need to keep two things in mind

      1. If you want to use a line break, you need to use the HTML command <br>

      2. If you'd like to include variables, you need to write {{variable}} instead of @variable.

    6. The footer

  3. Once you finalized your content and recipients, click "Save changes" to set your changes live.
