How to get started with your Agency Portal organization

Learn all about the setup and settings of your organization

In this article, you'll learn all about accessing your Agency Portal organization for the first time and all necessary steps to set it up correctly, including your domain connection and other settings like branding and legal links.


How to get access

As soon as Agency Portals are included in your plan, you'll find a banner in Heyflow. By clicking on the button, you'll receive an email with a sign-up link to accept the invitation to create your organization.

Via this signup link, you'll be able to create your organization by creating your account and arrange your organization branding, legal setup and connect your portal domain. You can also skip these steps and make necessary changes later in your organization settings. All the options are explained later in this article.

Finally, you'll be able to create your first portal:


Domain Connection

When connecting your domain, all your portals will be accessible via this domain. Depending on which portal your customers are invited to, they will only enter the portals they are allowed to see via your domain.

Before you start, make sure you have access to the DNS settings of your domain. Let's connect your domain step by step:

1. In the top right corner, click on your account and navigate to Domain Management. On this page, click Add domain, enter your domain (without https://) and finally, click Add.

2. Open a new tab or window and navigate to your DNS settings with your domain provider. On this page, enter the data as it was shown in the Agency Portal. The type of the record is CNAME, the host is your subdomain and the value is external.heyflow-portal.domains. The TTL is Automatic. Some providers use other names for the columns, but should always be similar.

3. Lastly, return to your Agency Portal domain connection and click the Refresh button. If it's not connecting immediately, try after a few more minutes or hours. It can take up to 24 hours, but usually, it's much faster.

4. If your CNAME is correctly set, after another refresh, the domain status switches to Connected and you have successfully connected your domain.

❗ For your safety, it is not possible to change or delete the domain yet. If you really need to make adjustments, reach out to our support team.


Settings

In general, you can find your organization settings clicking in the top right corner in your account and choose Organization settings. Here, you are able to change your organization's name and adjust branding and legal settings.

Branding

In order to match your brand's design in the portals, you can upload your favicon and logo and also set up the color and font. The organization branding will be inherited by your portals, but you can also define unique portal branding.

Legal

Insert your links to terms & conditions and your privacy policy by simply inserting the link and clicking on update on the right. These links will be displayed to your customers on the login page.
